When you walk into MCCi and go office to office, one thing you will not find are filing cabinets.  We do not own any.  All company documentation is stored in Laserfiche.  In fact, the year we started offering Laserfiche to our clients is the very same year we began scanning our files into our Laserfiche system. We began with our client files. We already had a great filing structure in place so the best thing for us was to take this filing structure and mimic it within Laserfiche.  This way people knew exactly where to go to look for the information. It was easy and everyone adapted to it without hesitation. Christie Davis, Employee Relations Director remarks, “I remember the day we began scanning our records. It was scary letting go of all the paper and thinking about moving to a new way of working. Today I love it…I could not work without Laserfiche or go back to paper files!”  Today, we use Laserfiche to store all of our records in all departments including Administration, Account Management, Sales, Marketing, Information Technology and Operations.  Laserfiche has become one of our core business tools; everyone in each department uses it daily.  And because of this we truly are a paperless organization. 

One of the most important ways we use Laserfiche is to maintain our Client files. Once an organization becomes a client, a file is created in Laserfiche containing their contract information, billing information, project documentation etc. Anyone in our organization, even remote staff, can access these files.  In literally seconds we can access all information regarding a client’s account which enhances our customer services experience and response times.  In fact a customer contacted Alexis Blue, Senior Account Manager, to locate a copy of their original signed contract.  The client had been tasked with producing all contracts for the department with a short period of time.  In just minutes, from Laserfiche, Alexis was able to locate and email the contract directly to the client.  The customer was amazed at the turnaround time and even commented that she was now less stressed out about contacting other vendors for their contracts.  

Donny Barstow, President of MCCi, remarks:  “I remember my first day at MCCi.  It was 2001 and I started in a sales role.  Naturally, I started building paper-based sales files. After a few days the CEO of our parent organization walked up to my desk and knocked all my files on the floor.  Of course, my first reaction was one of surprise.  Then he said, MCCi is a Document Imaging company, so start acting like it.  From that day forward I understood how important it was to use what you sell, and now we use Laserfiche extensively.  In fact, there is no budget or purchases allowed of folders, cabinets, etc.  We only have one printer, and do not even own a paper-based fax machine”. 

We also use Laserfiche to archive our HR files. For security reason these records are stored in a separate repository giving only authorized manager’s rights to access the documents. Each department manager can then archive and search for records pertaining to their department’s staff without the need to rely on the HR Manager to provide it.  The HR Manager has peace of mind knowing that security is limited and the confidentially of the records is not compromised.  

A few years ago MCCi saw the need to start documenting their policies and procedures to ensure as our staff grew we had the resources in place that allowed us to accurately and easily train our new hires.  These documents (P&P’s) are stored as Word documents in Laserfiche and can be easily accessed company-wide. They are broken down by department so each employee can easily find the documentation pertaining to their department.  As policies change authorized personnel can go into Laserfiche to update the P&P’s to ensure that all employee are accessing the most current version of the document.  Without Laserfiche, this wouldn’t be possible.  

Companywide, MCCi utilizes Laserfiche for almost anything you can imagine.  Some of the roadblocks we have found through the years are with employee turnover, as it relates to filing and document naming consistency.  We aim to overcome these through proficient training and staying up to date on the most recent versions of Laserfiche.  We know from using Laserfiche for many years and in working with many clients, that there are always other uses for Laserfiche. In the past few years we have upgraded our Laserfiche system to the new Enterprise model, Laserfiche RIO, which is allowing us to utilize Laserfiche Workflow to automate some of our key business processes and has allowed integration with Microsoft SharePoint, CRM, and Great Plains.  As a Microsoft partner, MCCi is utilizing these tools to run more efficiently and coupling their functionality with Laserfiche will be a huge win for the organization.
